Terms of Service
Last updated September 26, 2026.
This is the agreement between you and DFWVoIP LLC, doing business as "DFWVoIP" ("we", "us"), covering the phone service, hardware, installation and ongoing support we provide. Placing an order or using our service means you've agreed to what's below. We work with businesses only — we don't offer residential plans.
1. E911
VoIP 911 works differently than the 911 you're used to on a landline — read our full E911 Notice for the details, including what happens during a power or internet outage, and why keeping your registered address current matters that much.
2. Service and orders
What you get is exactly what's on your signed quote or service order — seat count, features, hardware, term length and pricing. A quote holds for 30 days unless we tell you otherwise in writing.
3. Installation and onsite service
A standard install covers the site survey, phone placement, programming, cutover and staff training, anywhere in our DFW service area. On your end: give our crew safe access to the building, make sure the network and power are ready, and have someone available during the scheduled work. Anything beyond that — structured cabling through our affiliated cabling company, for example — gets quoted and billed on its own.
4. Customer responsibilities
- Keep reliable internet and power running at every location.
- Use the service the way our Acceptable Use Policy describes, and within the law.
- Keep your account details and E911 registered address current.
- Protect your login credentials, and tell us right away if you suspect someone else is using them.
5. Equipment
Hardware you buy outright is yours once it's paid for. Hardware you rent or subscribe to stays ours — if the agreement ends, send it back in good shape within 30 days, or we'll bill you for its replacement cost. Manufacturer warranties cover defects; they don't cover damage from misuse, power surges, or unauthorized modification.
6. Fees, billing and taxes
Your recurring service is billed monthly, in advance. Usage, hardware and one-time project work get billed as they happen. Pay by the due date shown on the invoice — anything past due can accrue interest, capped at whichever is lower: 1.5% a month or the highest rate Texas law allows. None of our prices include taxes, regulatory fees, surcharges or E911 charges; those show up separately.
7. Term, renewal and termination
Your service term renews automatically unless your service order says otherwise, or unless either of us gives 30 days' written notice before it ends. Cutting things short before your committed term is up can mean owing whatever's left on that commitment. And if an account falls behind on payment or breaks the Acceptable Use Policy, we can suspend service.
8. Number porting
We'll do what we reasonably can to move your existing numbers over — how long that takes is mostly up to your current carrier, not us. By requesting a port, you're confirming you actually have the authority to move that number.
9. Third-party and AI services
Some features — AI voice agents included — run on third-party platforms that we resell under our own agreements with those providers. What those features can do, and whether they're up, depends partly on that underlying platform. And since AI can get things wrong, don't treat what it says as professional advice.
10. Service levels and availability
We aim for high uptime, but we can't promise the service never blinks — your own network, power, the carriers we depend on, or things outside anyone's control can all get in the way. If your service order spells out specific uptime commitments and remedies, those govern.
11. Warranties and liability
Outside of what's expressly promised elsewhere in this agreement, we provide the service and equipment as-is — no implied warranties of merchantability, fitness for a particular purpose, or non-infringement. And to whatever extent the law allows, neither of us is on the hook to the other for indirect, incidental, special, consequential or punitive damages, or for lost profits or revenue. If a claim does arise from our services, the most we owe in total is capped at what you paid us for that specific service over the three months before the claim.
12. Indemnification and confidentiality
If a third party comes after DFWVoIP because of how you used the service, content you put through it, your call-recording practices, or a violation of law or this agreement on your part, you're responsible for covering that. Separately, whatever non-public business information we share with each other along the way stays protected — used only to deliver on what this agreement covers, nothing else.
13. Governing law
Texas law governs this agreement, with no regard to conflict-of-law rules. If a dispute ends up in court, it's heard in Dallas County, Texas — state or federal.
14. Changes and contact
We can update these terms from time to time. Keep using the service after an updated version takes effect, and that counts as accepting it. Questions about any of this go to DFWVoIP LLC, P.O. Box 551501, Dallas, TX 75355 · (469) 971-2600 · sales@dfwvoip.com.
