Privacy Policy

Last updated September 26, 2026.

Here's how DFWVoIP LLC, doing business as "DFWVoIP" ("we", "us"), handles the information that comes through our website and our business phone service. We work exclusively with business customers — this isn't written for residential or consumer use.

Customer Proprietary Network Information (CPNI)

Federal law protects certain details about how you use telecom services as CPNI — Customer Proprietary Network Information. We only use or disclose CPNI the way the law permits, mainly to provide and bill for your service, and we keep safeguards in place to keep it from falling into the wrong hands. The sections below explain the rest of how we handle information more broadly.

What we collect, and why

  • Contact and account details — name, company, work email, phone number, service address, billing info — so we can set up, support and bill your service.
  • Usage records tied to your service — call detail records (who was dialed, when, how long), device registration status, and other technical details — so we can keep things running, troubleshoot, and watch for fraud or toll abuse.
  • Content you've chosen to store with us, like voicemail, call recordings, transcripts or AI-generated call summaries, if you've turned those features on — kept only to deliver those features back to you.
  • Basic website activity — pages viewed, referring link, browser type, IP address, gathered through ordinary web logs and cookies — so the site works and we can see what's useful.

Beyond running the service itself, we also use what we collect to dispatch technicians and schedule onsite work, respond to your questions and put together quotes, send service notices, and meet whatever legal, regulatory or lawful-process obligations apply to us.

Call recording and AI features

If your organization turns on call recording, transcription or AI voice agents, we process the resulting recordings, transcripts and summaries to make those features work. Getting the right notices out and consents in place — whatever the law requires — is on your organization, not us. Our AI voice service runs on a third-party platform that we resell under our own agreement with them; anything that platform handles is processed only to deliver the service back to you.

Who we share it with

  • The service providers and carriers behind the scenes — the ones that help us actually deliver calling, messaging, AI, billing and support, plus the vendor that processes our website's contact form submissions.
  • Our affiliated cabling company, but only when you've asked for low-voltage work, and only with what they need to scope and do that job.
  • Whoever the law requires — subpoenas, court orders, emergency services including E911, or other legal obligations.
  • Whoever's on the other side of a merger, acquisition or asset sale, if that ever happens.

We do not sell personal information — full stop.

How long we keep it, and how it's protected

Account records stick around for as long as your account is active, and after that, only as long as legal, tax or regulatory requirements make us keep them. Recordings, voicemail and transcripts follow whatever retention settings are configured on your account. While it's in our hands, we protect it with a mix of administrative, technical and physical safeguards — encrypted transport on supported devices, access controls, and ongoing monitoring. That said, no method of sending or storing data is completely secure, and we won't pretend otherwise.

Your choices, and cookies

If you're an authorized administrator on the account, reach out to us to access, correct or delete account information. Depending on where you live, state law may give you additional rights over your personal information. Separately, our website itself uses cookies and similar tech for basic functionality and analytics — your browser settings let you control that.

One more thing

We sell to businesses, not to kids — nothing here is directed at anyone under 13. And this policy isn't frozen: it can change over time, and when something material does, we'll post the update here with a new revision date.
